The Challenge

A single day. A global stage. The right journalists in the room.

In June 2025, Investment NSW, the New South Wales government agency responsible for attracting trade and investment — staged a Food & Beverage Showcase at the Australian Pavilion, Osaka Expo 2025. The event brought together 16 NSW food and beverage producers for a one-day showcase to Japanese buyers, distributors, and media.

The brief to Insentiv was clear: generate meaningful Japanese media coverage for the event. That meant identifying and inviting the right journalists from across Japan's food, trade, and consumer media landscape, converting invitations into confirmed attendees, and ensuring every reporter who came away had the story, the assets, and the access to file a strong piece.

Expo 2025 created its own complexity. Osaka was hosting thousands of international exhibitors simultaneously, and competition for media attention was intense. A one-day window left no room for follow-up visits. Coverage either happened, or it didn't.

The Solution

A targeted, bilingual PR campaign built around the event, not around the brand.

Insentiv, in partnership with TOCS, built the media outreach program from the ground up. A curated list of over 400 media contacts was developed across food trade publications, consumer lifestyle titles, national wire services, broadcast media, and regional Kansai outlets, selected for relevance to the NSW food and beverage sector and the Expo audience.

Bilingual invitations and follow-up communications were drafted and distributed in Japanese and English, with personalised pitches to priority journalists. A three-page bilingual media kit was produced to provide reporters with all the content they needed: event overview, NSW producer profiles, key messages, and photo assets.

On the day, Insentiv provided on-site media liaison, greeting and briefing journalists on arrival, facilitating one-on-one interviews between producers and media, and coordinating a live broadcast with Television Osaka. The broadcast team conducted a four-minute live segment from the pavilion, with an extended eight-minute version uploaded to YouTube.

A post-event press release was distributed to drive follow-up coverage, and a full coverage report was compiled and delivered to the client.
